Position Description –Clerk/Receptionist

Basic Function of Position

The incumbent reports to the CDC Office Manager in Nairobi, with primary responsibility for serving as the receptionist and telephone operator. This position also provides administrative support services including assistance with staff travel claim processing, visitor orientation, logistics support and maintaining archival administrative files at the CDC warehouse. Performs a wide variety of routine clerical support functions, including word processing and data entry.

Major Duties and Responsibilities

Receptionist/Operator: Serves as the receptionist and operator for CDC Kenya in Nairobi. Provides information to visitors and informs staff of visitors waiting. Questions and screens visitors or callers to direct them appropriately or to take messages.

Administration Support for Travel : Serves as Administrative Assistant for Travel Services. During times of peak travel claims provides surge capacity and serves as the Acting Administrative Assistant for Travel Services during the absence of that staff member. Provides general administrative assistance to the Office Manager including maintenance of archived administrative files at the CDC warehouse and files at the CDC main office in Nairobi. Picks up and distributes incoming mail; opens and routes office mail; prepares outgoing mail.

Date Entry: Serves as a data entry clerk for studies. Enters data from forms into databases or quality assures data entered by others.
